*TITLE:* Executive Assistant

*REPORTS TO:* Executive Director for Fresno C2C

*CLASSIFICATION:* Contractor

*SUMMARY:*

Under the general direction of the Communications Manager for Fresno C2C
and TCM, the Executive Assistant provides administrative and clerical
support to the C2C and TCM teams as needed.

The Executive Assistant coordinates, monitors and supports various
administrative functions for both organizations.

*HOURS:* 12 – 15 hours per week

*ESSENTIAL DUTIES & RESPONSIBILITIES:*

· Develop, compose and review correspondence reports and memoranda
for staff

o Attends various meetings and take notes provides feedback at those
meetings

o Proofreads and provides feedback on documents

· Provide logistical support for all C2C and TCM meetings

o Set-up and clean up, purchase of snacks and items needed, maintain
lists, note taking

o Provide support on agenda development for TCM Action Forums

o Execute room reservation forms and contracts for meeting and event space

· Provide event planning and support for the annual State of Our
Children breakfast

o Manage the data base for reservations and sponsorships

o Provide updated reports on revenue, attendance and punch list items

o Support the execution of all contracts and invoices to be approved by
the Ex Director

o Build and direct volunteer teams to provide support the day of the event

o Provide support to the breakfast committee as needed

· Provide support on Outlook, Microsoft office and related IT
issues for team

o Maintain shared contact lists and shared calendar

o Maintain consistent branding elements on all outgoing communication

· Coordinate with all to ensure efficiency and comprehensiveness
for C2C and TCM team support including the TCM Advisory Board

o Maintains positive relationships with all participants

o Respond to internal staff within 24 hours

o Meets with staff as needed to plan, and project manage

· Provide Website support for TCM and C2C

o Fully maximize the capability of the Nationbuilder (NB) data base for
the benefit of TCM and C2C

o Update NB regularly to capture the extent and depth of participation of
the network using tags

o Website updates and support including creating, reviewing and editing
approved content

· Other duties as assigned

*QUALIFICATIONS:*

* Education:*

– High school graduate working toward a degree (A.A. or B.A.),
preferably with an emphasis in business, liberal arts, education, or social
services.

*Experience & Skills:*

§ Minimum of two years of related work experience

– Cultural competency

– Outstanding written and verbal communication skills including
spelling, punctuation, grammar and vocabulary, and the ability to write in
an accurate, brief, clear manner

– Exhibits initiative, sound judgment, and works well with deadlines and
under pressure

– Excellent organizational skills and the ability to adapt to new
conditions, assignments, and priorities
– Flexible
– Effective interpersonal communication skills and the ability to work
harmoniously with others
– Self-motivated, creative, and able to work independently with minimal
supervision

– Problem-solving and analytical skills
– Proficient in Microsoft Office Suite and database management software
– Ability to interpret, analyze and utilize data sets

– Valid California driver’s license, reliable transportation,
satisfactory driving record, and auto liability insurance required

position may involve travel to Commission meetings and events.
